We are committed to offering a clear and fair refund process for registrations. This policy outlines the conditions under which refunds may be requested, as well as the steps involved in the refund process. Please read it carefully before completing your registration.
Eligibility for Refunds
- Cancellations Made at Least 15 Days Before the Event:
- Refunds are available for cancellations made at least 15 days prior to the event start date.
- A €50 administrative fee will be deducted from the refunded amount to cover processing costs.
- Cancellations Made Within 15 Days of the Event:
- Registrations cancelled within 15 days of the event are not eligible for a refund due to logistical and operational constraints.
- Late or Incorrect Registrations:
- Registrations submitted after the official deadline or with incorrect payment amounts may be subject to a €50 administrative fee and are at risk of exclusion from the programme.
- Non-Refundable Fees:
- The registration fee for any paper included in the programme is non-refundable, regardless of the reason for cancellation.
Conditions for Refund Requests
- Submission Process:
All refund requests must be submitted in writing to our support email address. Include your registration details, payment receipt, and the reason for the cancellation. - Processing Time:
Refunds will be processed within 30 business days of receiving a valid request. You will be notified once your request has been reviewed and approved. - Refund Method:
Refunds will be issued via the same payment method used during registration. Please note that any fees charged by your payment provider are non-refundable.
Important Notes
- Multi-Author Submissions:
Submissions with multiple authors are charged the standard registration fee, which is not subject to discounts or partial refunds for co-authors. - Participation Mode:
The refund policy applies equally to both onsite and online participation. Switching between these modes after registration does not affect eligibility for refunds. - Administrative Fee:
The €50 administrative fee is non-negotiable and applies to all eligible cancellations.
