These Terms & Conditions govern the use of this website, conference registrations, abstract submissions, participation, and publications by The International Linguistic Society, trading name of The International Society of Experimental Linguistics (Company No. 489381), Sokratous 56, 155 62 Athens, Greece.
By registering for a conference, submitting an abstract or paper, or using our services, you agree to these Terms & Conditions.
1. Registration & Payment
- Each submitted paper requires its own registration and payment, regardless of the number of authors.
- All authors attending or presenting at a conference must register individually.
- Online and onsite participation fees are identical.
- Discounted rates apply per registrant, not per paper.
- Member rates are reserved for past ExLing/ILS presenters. Eligibility must be demonstrated where requested. Incorrect selection of a discounted rate may result in payment of the difference.
- Registration is confirmed only once payment has been received.
- Participants are responsible for any bank charges, transfer fees, or currency conversion costs associated with payment.
- Certificates of Participation or Presentation will only be issued to registered presenters who attend and participate in the conference.
- Certificates will not be issued to co-authors who are not registered presenters, regardless of authorship status.
- Certificates will only be issued once registration is complete and attendance or presentation has been verified.
2. Cancellation & Refund Policy
- Cancellations made 15 days or more before the conference are refundable, minus a €50 administration fee.
- Cancellations made within 15 days of the conference are non-refundable.
- Late or incorrect registrations may incur a €50 administration fee.
- Registration fees relating to papers already included in the conference programme are non-refundable.
- Substitution of a registered participant may be permitted at no additional cost, subject to notification of the organisers.
3. Abstract Submission & Publication
- Authors retain copyright in their submitted abstracts.
- Submission grants the organisers a non-exclusive licence to publish the abstract in the Book of Abstracts, conference programme, conference website, archives, and related conference materials.
- Published abstracts may remain publicly accessible as part of the academic record of the conference.
- No royalties or publication fees are payable to authors for publication of an abstract.
- If an abstract is withdrawn after acceptance but before publication, it will not be included in the Book of Abstracts or conference programme, where reasonably practicable.
3a. Recording, Photography & Publication of Presentations
- By registering and/or presenting at a conference, participants grant the organisers a non-exclusive licence to record, photograph, and publish their participation, including their slides, voice, image, name, and affiliation.
- Recordings and images may be used in conference materials, proceedings, official social media channels, YouTube or other video platforms, websites, and related promotional, educational, or archival materials.
- Participants who do not wish their presentation, likeness, or voice to be recorded, published, or shared must inform the organisers in writing before the start of the conference.
- The organisers may archive conference recordings and images for educational, promotional, and historical purposes unless the participant has requested otherwise.
- While the organisers take reasonable care in managing recordings and images, they cannot accept responsibility for unauthorised copying, use, or distribution by third parties once material has been lawfully made public.
3b. Use of Artificial Intelligence (AI)
- Reviews and editorial decisions are not generated by AI tools. Submissions are reviewed by the organising committee and/or appointed reviewers.
- Authors may use AI-assisted tools, such as grammar correction, paraphrasing, or drafting support, when preparing abstracts or papers, provided that:
- the use of AI is appropriately disclosed in the submission where applicable;
- substantial human authorship, supervision, and academic judgement remain present; and
- the authors accept full responsibility for the accuracy, originality, citations, permissions, ethical standards, and content of the work.
- AI-generated material must not be submitted as original academic work without substantial human authorship, supervision, and accountability.
- The organisers reserve the right to reject submissions that appear to rely excessively on AI-generated content without appropriate human oversight or disclosure.
- Submitted abstracts and papers will not be stored, processed, or shared with third-party AI systems by the organisers.
3c. Proceedings Publication
- Authors of accepted abstracts may be invited to submit a full or extended paper for inclusion in the conference proceedings.
- Submission to the proceedings is optional and must follow the formatting requirements and deadlines provided by the organisers.
- Authors retain copyright in their papers.
- Submission grants the organisers a non-exclusive licence to publish the paper in the proceedings, digitally and, where applicable, in print.
- Proceedings may be published through the conference website, publication platform, and related academic platforms and may be freely accessible to the public.
- No royalties or fees are paid to authors for publication in the proceedings.
- Authors remain responsible for the accuracy, originality, citations, permissions, figures, data, ethical standards, and other content contained in their papers.
- The organisers reserve the right to reject papers that do not meet academic, ethical, editorial, or formatting requirements.
- Proceedings may be assigned publication identifiers such as an ISBN or DOI and may be submitted to or made discoverable through appropriate academic indexing and discovery services.
3d. Conference Promotion & Publicity
- The organisers may promote conferences, participants, presentations, and associated research through official ILS channels, including the ILS website, social media, newsletters, email communications, and other conference-related promotional materials.
- Promotional materials may include a participant’s name, institutional affiliation, presentation title, research topic, and publicly available professional information associated with their participation.
- Promotional features may include research spotlights, researcher or speaker features, programme highlights, keynote announcements, and post-conference coverage.
- The body of a submitted abstract will not be reproduced or used as promotional content.
- Submitted abstracts will not be rewritten, paraphrased, summarised, or converted into promotional copy.
- Presentation titles, author details, affiliations, research topics, and other submitted information will not be altered in a way that changes their meaning or misrepresents the participant or their research.
- The organisers will not create or attribute research findings, statements, quotations, opinions, conclusions, or other content to a participant that the participant has not provided.
- Artificial intelligence will not be used to generate, recreate, or materially alter participant identities, photographs or likenesses, presentation titles, abstracts, research content, research findings, quotations, opinions, or statements attributed to participants.
- Where photographs, video, audio, presentation materials, or a participant’s likeness are used for promotional purposes, the provisions of Section 3a apply.
- Participants who do not wish their individual participation or research to be featured in promotional materials may notify the organisers in writing.
4. Event Participation & Conduct
- Attendees and participants are expected to behave professionally and respectfully.
- Harassment, discrimination, abusive behaviour, or deliberate disruption of conference activities will not be tolerated.
- Serious or repeated non-compliance may result in removal from the conference or withdrawal of registration without refund.
- Programme content, presentation formats, speakers, schedules, and session arrangements may be changed where necessary.
- The organisers provide access to the relevant online conference platforms but are not responsible for individual internet connection issues, participant hardware or software problems, or other technical difficulties outside the organisers’ reasonable control.
5. Liability & Force Majeure
- Participants are responsible for their own travel, accommodation, insurance, visa arrangements, and other personal expenses associated with attending a conference.
- The organisers are not responsible for losses arising from personal travel or accommodation arrangements.
- The organisers are not liable for delays, cancellations, venue changes, programme changes, or other disruption caused by circumstances outside their reasonable control, including strikes, transport disruption, natural events, public health emergencies, governmental restrictions, or similar events.
- Where circumstances outside the organisers’ control require changes to the delivery of a conference, the organisers may make reasonable alternative arrangements, including changes to venue, schedule, format, or online delivery.
6. Intellectual Property
- Website content produced by or for the International Linguistic Society is owned by or licensed to the organisers unless otherwise stated.
- Authors retain copyright in their abstracts, papers, and other original academic work.
- The organisers’ rights in participant and author materials are limited to the publication, conference, archival, educational, and promotional uses expressly described in these Terms & Conditions.
- Nothing in these Terms transfers ownership of an author’s research or academic work to the organisers.
7. Data Protection
- Personal data is collected and processed for purposes connected with conference administration, registration, communication, publication, and the delivery of ILS activities and services.
- Personal data will be handled in accordance with the ILS Privacy Policy and applicable data protection requirements, including the General Data Protection Regulation (GDPR) where applicable.
- Information used publicly for conference programmes, publications, and promotional activities is limited to the uses described in these Terms & Conditions and the Privacy Policy.
8. Governing Law & Jurisdiction
- These Terms & Conditions are governed by the laws of Greece, subject to applicable European Union law.
- Nothing in these Terms & Conditions limits any mandatory rights or protections that apply under applicable law.
- Subject to any mandatory jurisdictional rights that may apply, disputes arising from these Terms & Conditions are subject to the jurisdiction of the Greek courts.
