Terms and Conditions Policy

These Terms & Conditions govern use of this website, conference registrations, abstract submissions, and publications by The International Linguistic Society, trading name of The International Society of Experimental Linguistics (Company No. 489381), Sokratous 56, 155 62 Athens, Greece. By registering, submitting abstracts, or using our services, you agree to these Terms.


1. Registration & Payment

  • Each submitted paper requires its own registration/payment, regardless of number of authors.
  • All attending authors must register individually.
  • Online and onsite participation fees are identical.
  • Discounted rates per registrant, not per paper.
  • Member rates are reserved for past ExLing/ILS presenters—eligibility must be proven; incorrect selection will incur a fee difference.
  • Registration is confirmed only post‑payment.
  • Certificates of participation or presentation will only be issued once registration is complete and attendance or presentation has been verified.
  • Participants are responsible for covering any bank charges, transfer fees, or currency conversion costs.

2. Cancellation & Refund Policy

  • Cancellations ≥ 15 days before conference: refundable minus €50 admin fee.
  • Cancellations within 15 days: non‑refundable.
  • Late/incorrect registrations: €50 admin fee.
  • Fees for papers in programme are non‑refundable.
  • Substitutions allowed at no extra cost.

3. Abstract Submission & Publication

  • Authors retain copyright of their abstracts.
  • Submission grants us a non‑exclusive licence to publish in the Book of Abstracts and related materials.
  • Abstracts may be archived and publicly accessible.
  • No royalties or fees are paid for publication.
  • If an abstract is withdrawn after acceptance, it will not appear in the Book of Abstracts or the programme.

3a. Recording, Photography & Publication of Presentations

  • By registering and/or presenting at the conference, you grant the organisers a non-exclusive licence to record, photograph, and publish your participation, including slides, voice, image, and name/affiliation.
  • Recordings and images may be used in conference materials, proceedings, social media posts, YouTube or other video channels, websites, and related promotional or educational outputs.
  • If you do not wish for your presentation, likeness, or voice to be recorded, published, or shared, you must inform the organisers in writing prior to the start of the conference.
  • The organisers reserve the right to archive conference recordings and images for educational, promotional, and historical purposes, unless otherwise requested.
  • While organisers take care in managing recordings and images, they are not liable for unauthorised use, copying, or distribution by third parties.

3b. Use of Artificial Intelligence (AI)

  • Reviews and editorial decisions are not generated by AI tools; all submissions are reviewed manually by the organising committee and appointed reviewers.
  • Authors may use AI-assisted tools (e.g. grammar correction, paraphrasing, or drafting support) in preparing their abstracts or papers, provided that:
  • The use of AI is disclosed in the submission (e.g. in an acknowledgements note).
  • Responsibility for the accuracy, originality, citations, permissions, and ethical standards of the work rests solely with the authors.
  • AI-generated content must not be submitted without substantial human authorship, supervision, and accountability.
  • The organisers reserve the right to reject submissions that appear to rely excessively on AI without proper oversight or disclosure.
  • No abstracts or papers will be stored, processed, or shared with third-party AI systems by the organisers.

3c. Proceedings Publication

  • Authors of accepted abstracts may be invited to submit a full paper for inclusion in the conference proceedings.
  • Submission of a paper for the proceedings is optional but must follow the formatting guidelines and deadlines provided by the organisers.
  • Authors retain copyright of their papers. Submission grants the organisers a non-exclusive licence to publish the paper in the proceedings, both in print (if applicable) and digitally.
  • Proceedings may be published on the conference website and related platforms, freely accessible to the public.
  • No royalties or fees are paid for publication in the proceedings.
  • Responsibility for the accuracy, originality, permissions (e.g. for figures or data), and ethical standards of the paper rests solely with the authors.
  • The organisers reserve the right to reject papers that do not meet academic, ethical, or formatting requirements.
  • Proceedings may be assigned an ISBN/DOI and indexed online.

4. Event Participation & Conduct

  • Attendees must behave professionally and respectfully. Harassment, discrimination, or disruptive behaviour will not be tolerated.
  • Non-compliance may result in registration withdrawal with no refund.
  • Programme content, speakers, and schedules may be changed without notice.
  • The organisers provide access to online platforms but are not responsible for individual connection issues, hardware/software problems, or technical difficulties beyond their control.

5. Liability & Force Majeure

  • We are not responsible for travel, accommodation, or personal expenses.
  • No liability for delays, cancellations, or changes caused by external factors (e.g. strikes, natural events).

6. Intellectual Property

  • Website content (excluding abstracts) is owned or licensed by us.
  • Abstracts remain authors’ property; our permission is limited to publication rights.

7. Data Protection

  • Personal data is used solely for conference administration.
  • Processing is aligned with our Privacy Policy in accordance with GDPR.

8. Governing Law & Jurisdiction

  • Greek law governs these Terms.
  • Disputes fall under the jurisdiction of Greek courts only.
